Delivery and returns policy

The policy behind the delivery service — carriage, the notification periods for shortages and damage, what can be returned, and how a warranty claim is made.

1. Scope

This policy applies to trade customers of G B Tyres (UK) Ltd. We sell to businesses and not to consumers, so the consumer cancellation and returns rights that apply to retail sales do not apply here. Where you resell to a consumer, your obligations to that consumer are yours and are not affected by this policy.

2. The order cut-off

Orders accepted before 18:00 on a working day are picked for despatch that day. Orders accepted after 18:00 are despatched on the next working day. The cut-off is the same at every depot.

The minimum order is a complete set of tyres.

Ninety per cent of deliveries go out on our own fleet; the remainder go by carrier. Ninety-one per cent of orders are delivered on time.

Lead times are estimates given in good faith and time of delivery is not of the essence. We will tell you if a delivery is delayed, and if the delay is substantial you may cancel the undelivered part of the order. We do not accept liability for loss caused by a late delivery — see condition 12 of the terms of sale.

Orders may be delivered in instalments. Each is invoiced separately, and a problem with one instalment does not entitle you to cancel the rest.

4. Carriage

Delivery on our own fleet within our standard delivery areas is included in the price for orders that meet the minimum order (a complete set of tyres). Where carriage is chargeable — non-mainland UK, Northern Ireland, the Republic of Ireland, export, timed deliveries, or orders below the minimum — the charge is quoted before the order is accepted and shown on the order acknowledgement. Lead times by area are on the delivery page. This policy mirrors condition 5.4 of the terms of sale.

5. Access and failed deliveries

You must give us accurate goods-in hours, tell us about any access restriction, and have someone available with the means to unload. Please ensure the delivery location has suitable access and unloading equipment for the tyres ordered.

Where a delivery fails because nobody is there, because access is inadequate, or because the goods are refused without cause, we may charge the reasonable costs of the failed delivery, of redelivery and of storage.

6. Collection

Same-day collection is available every day of the year from our depots. Orders should be phoned through with a collection time so they can be picked and staged.

On collection, delivery takes place and risk passes when the goods are made available to you at the depot. You are responsible for loading, restraint and transport from that point. Orders not collected within 10 working days may be cancelled, or held subject to a storage charge.

Depot addresses and opening hours are on our depots. Our head office at West Bromwich is not a trade counter and holds no stock for collection.

7. Ghost shipment

Where we deliver to your customer under your name, we do so as your subcontractor. The contract remains between you and us and you remain liable for the price. You are responsible for the accuracy of the delivery address, the access information and any special instructions.

The consignment carries your paperwork and no GB Tyres branding. Notification periods for shortage and damage still run from the date of delivery to your customer, so make sure whoever receives the goods knows to check them and to note any problem on the delivery note.

8. Checking a delivery

Check the consignment against the delivery note before you sign it. Count the items, check the sizes and check the sidewalls for transit damage.

If anything is short, wrong or damaged, note it on the delivery note at the time and sign the note as short or damaged. A clean signature makes a later claim for a visible shortage or visible damage very difficult to establish. Recording any issues at delivery helps us investigate the claim.

Report a problem to the sales desk on +44 (0)121 520 5215 or by email to sales@gbtyres.net, quoting the account number, the invoice or order number and the delivery date, and confirm it in writing within the period above.

Goods that are the subject of a claim must be kept unfitted and unused, in the condition they arrived in, and made available for us to inspect. Fitting a tyre you believe is wrong or damaged ends any claim in respect of it.

If we accept the claim we will, at our option, replace the goods, redeliver the shortage or issue a credit. If you do not notify us within the periods above, the goods are treated as accepted and payable in full.

10. Returning unused stock

This section covers return requests for correctly supplied goods that are no longer required. Acceptance is at our discretion and subject to the conditions below.

  • Ask the sales desk first. Returns need written authorisation and a returns reference, and unauthorised returns may be refused and returned to you at your cost.
  • Goods must be unused, unfitted, undamaged and in original resaleable condition, with labels and packaging intact.
  • Goods must be returned within 14 days of delivery. Please request authorisation promptly so the return can be received within that period.
  • A restocking charge of 15% may apply, and carriage on the return is at your cost unless the return is our error.
  • Credit is issued once the goods have been received and inspected.

We are not obliged to accept back goods that were a special or non-stock order, that have been fitted, cut, drilled, foam filled or otherwise modified, or that are no longer resaleable. Foam-filled assemblies are excluded from these discretionary returns because filling is irreversible. This does not affect the procedures for wrongly supplied, short or damaged goods under section 9, or applicable warranty claims under section 11.

None of this applies where the goods were wrongly supplied, short or damaged. Those go through section 9 at no cost to you.

11. Warranty returns

A tyre that has failed in service is a warranty claim, not a stock return, and it goes through a different route.

Warranty claims are submitted at warranty-gbtyres.net. Please provide the following information so the claim can be assessed:

  • Account number, and the invoice or order the tyre was supplied on
  • Full sidewall markings — size, load index, speed symbol, brand, pattern and the serial or week code
  • The vehicle or machine, and what it was used for
  • Position on the vehicle, tread depth when fitted and when removed
  • Distance or hours run, and the date it was fitted
  • Photographs of the failure, the sidewall markings and the tread

Keep the tyre or casing. It must be available for inspection by us or by the manufacturer, and may need to be returned to either. A tyre that has been scrapped cannot be assessed.

Most tyre warranty claims turn on whether the failure was a manufacturing defect or a service condition. Under-inflation, overloading, impact and kerbing damage, misapplication, improper fitting or repair, and mechanical faults on the vehicle are not manufacturing defects, and claims arising from them are not covered. Where a claim is accepted, we will replace the tyre or issue a credit, adjusted for tread used where the tyre is part worn. The full position is at condition 11 of the terms of sale.

12. Scrap and casings

Scrap tyre collection and the casing credit scheme are commercial services, not returns. They are separate from this policy and are described on dealer support. GB Tyres hold waste carrier registration CBDU210568.
